Venue Event Manager, Austin Media Center

The Venue Event Manager, Austin Media Center is responsible for planning and execution of all internal Austin PBS events and all customer and partner rental events in the new Austin PBS Media Center Conference Suite and Studios. The Venue Event Manager reports directly to the Director of Events & Experiences.

Responsibilities include but are not limited to:

  • Manage planning, budgeting, and coordination of event operations before, during, and after for all internal and external events in the Austin Media Center Conference space, Pre-function Space and Studios
  • Work with the Director of Events & Experiences and cross-departmental team on reservation process and event workflows creation in new space
  • Manage the created process and workflows once established
  • Prepare, communicate and disseminate detailed event documents, including layouts and timelines to ensure mutual understanding and staffing for clients, vendors and venue staff. This includes coordinating internal building teams in areas like housekeeping, security, audio/visual and others.
  • Primary on-site venue manager for events. Coordinate with clients and vendors, direct staff to provide required services and make sure all changes fall in line with facility policies.
  • Meet with client groups to plan and organize assigned events.
  • Ensure timely communications with all clients.
  • Overview event billing process, including creating estimates, budgets, invoices and agreements.
  • Work with the Director of Events & Experiences to do annual revenue forecasting for rentals, create plans for other revenue streams at the Austin Media Center and actively promote use of space to event planners and non-profit organizations
  • Assist the Director of Events & Experiences with all required projects and activities
  • Other duties as assigned.

Job Requirements:

  • 3 to 5 years experience in event management role or project management role
  • Experience working in a multi-purpose facility preferred
  • Organized and detail-oriented problem-solver with an ability to handle multiple projects simultaneously
  • Strong and effective interpersonal communication skills, both written and verbal
  • Ability to track expenses and adhere to a budget
  • Ability to work independently and as part of a team in a fast-paced environment
  • Proficient in Microsoft Word and Excel, Google Docs/Sheets, event diagramming software and managing calendars
  • Understanding of audio/visual needs, services, and production

Supervisory Responsibilities:

Manage support staff as needed to ensure the overall success of the special event.

Annual Salary Starting at $60,000 + commensurate with experience
